Why outsource your BV's VAT return to a specialist?

The VAT (btw) return for a BV (the Dutch private limited company) looks simple, but rarely is. As part of bookkeeping for BVs, all-inclusive for a fixed monthly fee, we make sure every return is correct, filed on time and consistent with the rest of your financial records. An error in the VAT works its way through to your profit and loss account and to your corporate income tax (vennootschapsbelasting, VPB) return.

Different rules apply to a BV than to a sole proprietorship or freelancer. If you have a holding structure with an operating company, there is the additional question of whether you form a VAT group (fiscale eenheid) and which supplies within that group are taxable. Read more about the bookkeeping of a holding and operating company if you want to know how we handle those structures.

We prepare your BV's VAT return monthly or quarterly, depending on your filing period. That includes processing all purchase and sales invoices, the input VAT deduction, the EU sales listing (ICP) for intra-Community supplies and the correction return (suppletie) if an earlier period needs to be corrected. The financial administration of your BV is the basis for this: without up-to-date records a correct VAT return is not possible.

Do you have a savings BV or a holding company that carries out little or no VAT-taxable activity? Then we assess whether and how the VAT return for that entity has to be filed. A so-called savings BV is usually exempt from VAT, but that does not mean there is no filing obligation at all. We determine the correct status and arrange either the return or the exemption from the filing obligation.

To file a BV's VAT return, eHerkenning is mandatory: a private DigiD is not enough. We arrange the authorisation through your eHerkenning account, so we can file on behalf of your BV without you having to log in every time. If you do not have eHerkenning yet, we guide you through the application. Once the authorisation is in place, we handle your BV's VAT return entirely ourselves.

A BV's VAT return does not stand on its own. Your VAT position affects your company's liquidity, the accuracy of your general ledger and ultimately your corporate income tax. That is exactly why we keep everything under one roof. Also read how we handle the outsourced corporate income tax (VPB) return and the payroll for the director-major shareholder (DGA) and employees, so you understand how the parts fit together.

Do you work from Roermond, Limburg, Nieuwegein or any other region in the Netherlands? It makes no difference. Our service is set up entirely remotely. You share your invoices digitally, we process them and you receive an overview for approval. No office visit is needed. All communication runs through your dedicated contact, so you always know who you are speaking to.

Want to know what outsourcing your BV's VAT return costs per month? Request a no-obligation quote. Within one working day you receive a concrete monthly amount (excl. VAT), including everything: VAT returns, corporate income tax, the annual accounts (jaarrekening) and payroll. Not a rough estimate, but a fixed amount you can put in your budget.

We also keep track of your retention obligation. The tax authority (Belastingdienst) requires BVs to keep invoices and bookkeeping entries for seven years (ten years for real estate). We document how your digital archive is set up, so that in the event of an audit you can quickly and fully demonstrate that your VAT returns are properly supported.

FAQ

Frequently asked questions

How does the VAT return for a BV work?

A BV must file periodic VAT returns with the tax authority (Belastingdienst): monthly or quarterly, depending on the filing period assigned by the tax authority. In the return you offset the VAT you charged your customers against the VAT you paid on purchase invoices (the input VAT). You pay or reclaim the difference. If you have a holding structure, there is also the question of whether your entities form a VAT group, which determines which supplies between them are taxable.

Do I need eHerkenning for my BV's VAT return?

Yes. A private DigiD is not enough for a BV's VAT return. You need eHerkenning at assurance level EH3 as a minimum. Once you have eHerkenning, you grant Nummerix an authorisation. After that we file all returns on behalf of your BV, without you having to log in yourself. If you do not have eHerkenning yet, we guide you through the application.

What does outsourcing my BV's VAT return cost?

The VAT return is part of our fixed monthly package for BVs. You pay one fixed amount per month (excl. VAT) for the complete bookkeeping, including all VAT returns, the corporate income tax return, the annual accounts and the payroll for the DGA. No separate invoices per return. Within one working day of your quote request you receive a concrete monthly amount based on your situation.

Do you also file the VAT return for a holding company or a savings BV?

Yes. A holding company that only holds shares is usually exempt from VAT and in many cases has no filing obligation. We assess the situation of your holding company or savings BV, determine the correct VAT status and arrange either the return or the exemption from the filing obligation. If your holding and operating company together form a VAT group, we handle the return at the level of that group.

What happens if an earlier VAT return of my BV was incorrect?

Then a correction return (suppletie) is needed. This is a correction you file with the tax authority for the period in which the error occurred. We spot discrepancies while processing your records and prepare the correction return for you. Filing the correction on time prevents penalties and interest. If you have a specific situation where you have doubts about earlier returns, we discuss it in an introductory call.

Do you also work for BVs outside the Randstad, such as in Limburg or Roermond?

Yes, we work for BVs throughout the Netherlands. The service is entirely remote: you share your invoices digitally, we process them and you receive an overview for approval. No office visit is needed. Entrepreneurs in Roermond, Limburg, Nieuwegein or any other region are welcome and are served in exactly the same way as clients in the Randstad.
